5 Questions to Ask Before You Book
When you’re planning a move, there’s already enough on your plate: packing up your life, changing addresses, and coordinating timing. The last thing you need is to fall into the trap of hiring a moving company that isn’t what it claims to be. Unfortunately, moving scams are more common than people realize. That’s why asking the right questions before booking is essential for protecting your belongings, your budget, and your peace of mind.
Not all movers are created equal. Some operate under the radar without proper licensing, while others may overcharge or underdeliver. So, how can you tell if a moving company is the real deal? Start by asking these five smart, simple questions. They’ll help you make an informed decision and avoid costly mistakes.
1. Are They Registered With the FMCSA?
If you’re moving across state lines, the first thing to ask is whether the company is registered with the Federal Motor Carrier Safety Administration (FMCSA). This federal agency regulates interstate movers, setting standards for safety, accountability, and transparency.
All legitimate interstate movers including both carriers and brokers are required to have a USDOT number issued by the FMCSA. This number allows you to verify a company’s license, insurance status, and complaint history through the FMCSA’s online database.
If a company doesn’t have a USDOT number or dodges the question when you ask, that’s a serious red flag. A moving company operating outside of FMCSA guidelines may be unlicensed, uninsured, or even fraudulent.
At Coastal Moving Services, every carrier we work with is thoroughly vetted and FMCSA-authorized. It’s part of our commitment to protecting our customers and upholding the highest industry standards.
2. Do They Provide a Written, Detailed Estimate?
A legitimate moving company won’t give you a vague, verbal estimate over the phone and call it a day. They should provide a written quote that outlines all charges and is based on a detailed understanding of your move.
Reputable movers will ask questions: How many rooms are you moving? Are there stairs or elevators involved? Is it a long-distance move or local? Will there be any specialty items, like pianos or large furniture?
Binding estimates lock in your price (as long as the inventory doesn’t change), while non-binding estimates can fluctuate based on actual weight or time.
In any case, always get your estimate in writing. This protects you from last-minute surprises like hidden fuel charges, stair fees, or long-carry add-ons.
3. Are They Properly Insured and Clear on Liability?
Things happen. Even with the best movers, damage or loss can occur during a move. That’s why it’s critical to ask what type of insurance coverage or “valuation” the company offers.
Under federal law, interstate movers must provide at least two levels of valuation protection:
- Released Value Protection: This is the default, no-cost option, covering your belongings at about 60 cents per pound. It’s minimal and may not come close to replacing lost or damaged items.
- Full Value Protection: This option (usually for a fee) holds the mover liable for the replacement value of damaged or lost items.
Ask for documentation that explains what’s covered, how claims are filed, and how disputes are handled. A legitimate company will walk you through this clearly and without pressure.
And if anything does go wrong, we stay in touch with our clients to ensure they’re supported every step of the way.
4. Do They Communicate Clearly and Professionally?
A trustworthy moving company won’t leave you guessing. From your first phone call or email to the final delivery of your belongings, communication should be clear, timely, and respectful.
Pay attention to how the company interacts with you. Do they respond quickly to questions? Are they patient when explaining their services, pricing, and process? Or do they rush you into booking without fully addressing your concerns?
Professionalism in communication also extends to how they handle documentation. Legitimate movers will provide everything in writing: quotes, contracts, policies so you’re never relying on verbal promises. They’ll explain terms like “binding estimate” or “valuation coverage” in plain language, not industry jargon.
A moving company that communicates well from the start is more likely to follow through when it matters most, on moving day. On the flip side, if you’re getting vague answers, confusing paperwork, or inconsistent messages, take it as a warning sign.
Reliable movers know that a stress-free move starts with trust and that trust is built through open, honest communication at every step.
5. Do They Require a Reasonable Deposit (or No Deposit at All)?
While it’s not unusual for movers to ask for a small deposit to secure your booking, beware of companies that demand large upfront payments especially if they insist on cash or wire transfer.
A legitimate mover will typically require a modest deposit (if any) and will outline exactly when the final payment is due. They will not pressure you to pay the full amount before any services have been provided.
As a rule of thumb, never pay more than 25% upfront, and always get a receipt or confirmation in writing. If a company is pushy about payment or unwilling to explain their policies, that’s a big red flag.
Trust, But Verify
When you’re hiring a moving company, you’re doing more than booking a truck, you’re trusting someone with your home, your memories, and your peace of mind. It’s not a decision to take lightly.
Asking these five questions can go a long way toward protecting yourself from scams and unprofessional service. Don’t hesitate to dig deeper, compare options, and trust your gut.
